Job Summary:
Perform diverse office duties for assigned supervisor. Assists in designated administrative details using initiative and sound judgment. Advises department on specific area of responsibility. Requires knowledge of church policy and organizational structure, a high level of technical (well developed keyboard/computer, etc.) skills, high levels of tact, friendliness, and other aspects of strongly developed interpersonal skills plus proven organizational skill.


Skills, Education, and Experience Required:
  • Must exhibit extensive initiative; works with minimal supervision. Adaptable and able to evaluate priorities.
  • Ability to perform office and support duties with speed and accuracy.
  • Must be creative in writing letters and in the handling of office affairs, both regular and special.
  • Requires ability to work in high production office with many interruptions.
  • Requires well developed knowledge of church employment policies and practices.Knowledge of up-to-date office procedures such as filing, telephone techniques, office equipment (including computer, etc.), English usage (spelling, grammar, punctuation, etc.).
  • Position requires keyboard speed with high accuracy.
  • Must be able to facilitate good communications among departmental staff, other departments, and outside personnel.

Job Responsibilities:
  • Serves as switchboard operator, routing calls, tracking messages and using radio system to facilitate communication.
  • Assist visitors. Maintains and assists in use of office equipment, ie, FAX machine, copier, phones, etc. Orders and distributes office and classroom supplies.
  • Collects and receipts all money for tuition, lunch sales, field trips, camps, fundraising projects, etc.
  • Gathers and disseminates school information, including school calendar, newsletters, school website, meeting minutes and agendas.
  • Maintains active and inactive student records, files, databases, mailing lists and roster.
  • Handles all inquiries related to admission.
  • Registers new students, including developing a file and gathering all required documents, transcripts and information pursuant to that student.
  • Work with teachers to account for attendance and contact families accordingly.
  • Collaborates with treasurer on student financial accounts, including posting payments, charges, discounts, and producing monthly statements.
  • Processes monthly account statements, mails out accordingly and clarifies statements/invoice charges of parents.
  • Coordinates payroll for employees, student employees and substitutes.
  • Assists in duties of volunteer school nurse by managing minor student health emergencies, monitoring collection of health records, maintaining and updating first aid supplies and medications, and assist with programs related to student health.
  • Manages discipline issues that have been referred to administration in a positive and consistent manner and refers to principal as needed.
  • Maintains petty cash. Trains and supervises student office employees.
  • Performs any other related work as required.
  • Perform research and obtain information to satisfy requests of supervisor and others.
