Job Summary:

Provides administrative and clerical support to include answering phones, preparing written correspondence, making travel arrangements, coordinating meetings and conference calls, etc. for the Women’s Ministries department. Maintains department leader’s calendar, prepares agendas, minutes, and assists with coordination of events. Works with information of a broad and highly confidential nature and assists in designated administrative details using initiative and sound judgment.


*Pay range $18.53 - $24.92 hourly


Skills, Education, and Experience Required:
  • Associate’s degree in office administration or business-related field or certification from a business college, including course work in data entry, word processing/computer literacy etc. Appropriate successful work experience may be acceptable in lieu of scholastic requirements. Two or more years applicable office experience are needed to gain the skills and knowledge required to perform job duties
  • Knowledge of principles, policies and beliefs of the Florida Conference and the Seventh day Adventist Church. Requires knowledge of church organizational structure.
  • Ability to satisfactorily communicate (verbal and written) in English with vendors, co workers, visitors and management. Strong oral and written communication skills required.
  • Knowledge and proven skills in office procedures and equipment such as computer software (e.g., Word for Windows; Excel spreadsheets, Adobe Acrobat), form creation, data entry, filing, telephone techniques, and English usage (spelling, grammar, punctuation, etc.).
  • Requires a high level of well-developed office organization skills, demonstrated ability to follow through on projects/assignments in a timely manner; high level of tact, friendliness and other aspects of strongly developed interpersonal skills plus proven organizational and time management skills.
  • Ability to work under pressure in a fast-paced environment and multi-task through multiple interruptions and maintain emotional integrity.
  • Must possess strong decision-making skills, and accountability to leadership and department.
  • Schedule flexibility with overnight and weekend travel required.

Job Responsibilities:
  • Provide general clerical duties to include but not limited to: photocopying, faxing, mail distribution, scanning and filing for the Women’s Ministries department.
  • Cordially greet visitors and answer phones promptly using good judgment in resolving issues within role’s scope, briefly screening and directing calls to the appropriate person(s) or departments and prioritizing the distribution of messages in a timely manner.
  • Prepare written correspondence to various inquiries and requests internally and externally; create, edit and modify documents utilizing Microsoft Office Software in a timely manner.
  • Coordinate and arrange meetings and conference calls; i.e., prepare agendas, set up meeting room(s), order and set up lunches and breaks, prepares meeting materials and assist with the development of PowerPoint presentations; record, edit and distribute minutes for meetings and archive accordingly.
  • Assist with coordinating Women’s Retreats, One-Day Seminars and Leadership Trainings; i.e. schedule venues for events, make travel arrangements for speakers, and provide assistance to Director for events.
  • Must edit, update and maintain the database of pastors and women’s ministry leaders.
  • Uses strong interactive knowledge of social media to include but not limited to, posting comments, creating events, invitations, etc. to update women ministries of upcoming events and items of general interests.
  • Creatively and proactively assists in implementing new and effective ideas for women’s ministries.
  • Maintain the order of the collateral and supplies within the department’s storage space.
  • Additional duties as assigned by leadership.
