Job Summary:
The School Office Assistant provides essential administrative support to ensure the smooth daily operations of the school office. This role involves managing records, assisting parents, students, and staff, handling communications, and coordinating administrative tasks to support the principal and school leadership.

Skills, Education, and Experience Required:
  • Qualifications & Skills:
    • High school diploma or equivalent (Associate’s degree preferred).
    • Experience in office administration, preferably in a school setting.
    • Strong organizational and multitasking skills.
    • Excellent verbal and written communication abilities.
    • Proficiency in Microsoft Office (Word, Excel, Outlook) and office equipment.
    • Ability to handle confidential information with discretion.
    • Friendly, professional, and customer-service-oriented demeanor.

Job Responsibilities:
  • Administrative Support:
    • Manage daily filing of office and student records.
    • Prepare and organize relevant forms for parents, students, and teachers.
    • Assist the principal with meeting preparation, including scheduling and document preparation.
    • Print and distribute materials for staff as needed.
    • Prepare and maintain office documents for student registration and other school processes.
  • Communication & Visitor Support:
    • Answer and direct phone calls, take messages, and ensure timely delivery to the appropriate person.
    • Greet and assist visitors, parents, and students, ascertain their needs, and schedule appointments with the relevant staff.
    • Sort and distribute incoming mail to the appropriate recipients.
  • Financial & Record-Keeping Tasks:
    • Accept and process payments on behalf of the school, ensuring accurate recordkeeping.
    • Maintain organized and confidential records of financial transactions related to office operations.
  • Liaison & Coordination:
    • Serve as a point of contact between the principal, superintendents, and other school stakeholders.
    • Coordinate with faculty, staff, and administrators to facilitate smooth communication and workflow.
